How to Successfully Work With Your Credentialing Company
We all know that credentialing takes a long time to process and the various rules and guidelines from insurances are different for many scenarios, like individual state requirements and the many diverse insurance company requirements. Once you have hired a company to assist you with applying for insurance contracts, it is important to know how to best interact with your new team. We have some tips to help you keep the lines of communication open so you always know what is going on with your provider’s applications without having to reach out to each insurance company.
Tips to Help you Prepare for your Partnership with your Credentialing Team.
There is a lot of information that must be gathered by your credentialing company to effectively fill out applications that will be considered “complete”. Providing that information to your team is critical to the process of submitting the applications to each insurance company as quickly as possible.
1st Credentialing provides an expert Coordinator who works directly for you. Working with the Coordinator gives you the point person who will provide you with timelines and status reports. This ensures that the lines of communication are always open. Transparency is important.
Instead of going to the insurance company directly, message your Coordinator for details on a priority matter or schedule a meeting. Some applications can take 6 months to a year to finalize, so having a point person with your credentialing company assures that you will not have to recreate the wheel when looking for answers. Insurances often give multiple answers to multiple people, and because of that inconsistency, we recommend using your Coordinator for detailed information. Our teams check the status of applications every 30 – 45 days and our reports are sent to you bi-weekly, so be sure to review those reports and check the portal!
Our proprietary software 1stCred has a built-in portal so our clients can see all of their projects. If your credentialing company has this tool, you should use it! It is to your benefit to check the portal frequently for notices such as missing information, pending signature, and other items that need timely attention.
Communication should flow back and forth between the client and the company you hired. For example, if you receive a letter from an insurance company regarding credentialing, you should pass that along to your contact person right away. You do not want any deadlines to be missed! A letter from an insurance may mean you need to start over with an application or a provider may fall out of network without a quick response.
In summary, your credentialing company is there to be your partner. We provide you with a service that is often very confusing and has long timelines for completion. Keeping to strict timelines and providing timely feedback is essential for a successful partnership.
